Kanban Board View

The Kanban Board provides a visual workflow management system where you can see all cases organized by status. Drag cases between columns to update their status, making case progression transparent and workflow management intuitive.

Understanding the Kanban Board

The board displays cases as cards organized in columns representing different statuses in your workflow:

[New] → [In Progress] → [Review] → [Testing] → [Completed]

Each column shows:

  • Column header — Status name and case count
  • Case cards — Individual cases with key information
  • Drop zones — Areas where you can drag cases

Case Card Information

Each card displays:

  • Case Title — The case name
  • Case ID — Unique identifier
  • Priority Badge — Color-coded priority level
  • Due Date — When the case is due
  • Assignee Avatar — Who the case is assigned to

Managing Cases

Drag and Drop

  1. Click and hold a case card
  2. Drag it to another column
  3. Release to update the status

The case status updates immediately with no additional confirmation needed.

Filtering

Filter the board to focus on specific work:

By Queue

  • Select a queue from the dropdown
  • View only cases in that workflow

By Assignee

  • Filter to your own cases
  • View team member assignments
  • See unassigned cases

By Priority

  • Show high priority cases
  • Focus on critical work
  • Hide lower priority items

By Date Range

  • This week's cases
  • Overdue cases
  • Cases due soon

Customizing Columns

Show/Hide Columns

  • Hide inactive statuses
  • Minimize clutter
  • Focus on active workflow

Rename Columns (Admin)

  • Customize status names
  • Add descriptive labels
  • Create custom workflows

Workflow Automation

Trigger Workflows on Status Change

When a case moves to certain statuses:

  • Send notifications
  • Assign to team members
  • Update due dates
  • Start new tasks

Blocked Status Handling

If a status is blocked (requires certain fields):

  • Card shows warning indicator
  • Cannot proceed until resolved
  • Help text explains requirement

WIP Limits

Set maximum cards per column to:

  • Prevent overload
  • Identify bottlenecks
  • Encourage completion
  • Improve throughput

Columns exceeding WIP limits show warning:

Case Details Quick View

Click a case card to:

  • View full details
  • Edit information
  • Add comments
  • See history

Bulk Actions

Select multiple cases:

  • Move all to new status
  • Reassign multiple cases
  • Update priorities
  • Add tags or labels

  • Bold text — Cases with recent activity
  • Red border — Overdue cases
  • Pending status — Cases awaiting approval
  • Dimmed — Completed/archived cases

Column Metrics

  • Case count — How many in each status
  • Average age — How long cases spend here
  • SLA status — On track or at risk
