Import Projects
The Import Projects feature lets you create multiple projects at once by uploading a CSV or Excel file. It walks you through a guided, five-step wizard that validates your data, resolves conflicts, assigns project types, and maps case templates before finalising the import.
Before You Begin
Prepare a spreadsheet with the following columns:
| Column | Required | Max Length | Notes |
|---|---|---|---|
title | Yes | 50 characters | Must be unique within the organisation |
description | No | 1500 characters | Plain text summary of the project |
Download the Sample CSV from the Upload screen to use as a starting template.
Supported file formats: .csv, .xlsx
Step 1 — Upload & Map
- Go to Projects and click the Import button (beside Create Project)
- In the wizard, drag and drop your file onto the upload area, or click click to browse to select it
- The system reads your file and auto-maps its columns to the Title and Description fields
- If the column names in your file differ from the expected names, use the dropdown selectors to manually map each field
- Confirm the mapping is correct, then click Continue
Validation
- Only
.csvand.xlsxfiles are accepted - Title must be mapped before you can proceed — it is required
- A loading indicator shows upload progress while the file is being read
Step 2 — Sanitize & Verify
This step displays every row from your file in an editable table so you can review and fix data before import.
Each row is checked against three layers of validation:
| Check | What it catches |
|---|---|
| Duplicate titles within file | Two or more rows share the same project title |
| Field rules | Title or description exceeds character limits or contains invalid characters |
| Organisation conflict | A project with the same title already exists in the organisation |
Working with rows
- Edit inline — click any cell in the Title or Description column to correct its value
- Skip a row — click the remove icon to disable a row; it remains visible (greyed out) so you can re-enable it if needed
- Verify against the organisation — select one or more rows using the checkboxes and click Verify Selected to check for conflicts with existing projects
A summary bar at the top shows:
- Total rows uploaded
- Clean rows with no issues
- Rows with issues that need attention
Resolve or skip all flagged rows before proceeding.
Step 3 — Assign Types
Assign a Project Type to each project before the import is finalised.
- Use the bulk assign control at the top of the table to set the same type for all projects at once
- Or use the dropdown in each row to assign types individually
- Rows that were skipped in the previous step are shown greyed out and excluded from the import
Validation
- Every active (non-skipped) row must have a Project Type assigned before you can proceed
- Rows without a type are highlighted with a warning
Step 4 — Template Mapping
Map a Case Template to each project so that newly created cases in the project use the correct form.
- Templates are mapped per project row
- You can leave a project without a template mapping if templates will be configured later from Project Settings
Step 5 — Review
The final step shows a summary of everything that will be imported:
- Total projects to be created
- Assigned project types
- Template mappings
- Any rows that were skipped
Review the list, then click Import Projects to submit. A loading indicator is shown while the import runs. Once complete, the wizard closes and the new projects appear in your Projects list.
To go back and make changes at any point, use the step navigator on the left side of the wizard or click Back.
Tips
- Fix all validation issues in Step 2 before advancing — unresolved conflicts will be skipped silently at import time
- Use Skip rather than deleting rows so you have a record of what was excluded
- Bulk-assign a Project Type first, then override individual rows as needed to save time on large files
