Bulk import cases from external sources like spreadsheets, legacy systems, or databases. Save time by loading multiple cases at once rather than creating them individually.
Import Methods
Spreadsheet Import (CSV/Excel)
- Prepare your data
- Go to Cases → Import
- Select file type (CSV or Excel)
- Upload file
- Map columns to case fields
- Preview and confirm
- Import
Direct Paste
Copy data from spreadsheet and paste directly into import dialog.
Preparing Your Data
Required Columns
- Case Title
- Case Type
- (At least one more field)
Recommended Columns
- Case ID
- Description
- Priority
- Assignee
- Due Date
- Category
Best Practices
- Remove headers in first row (optional)
- Use consistent date formats (YYYY-MM-DD)
- Validate email addresses
- Check for duplicate cases
- Test with small sample first
Column Mapping
After uploading:
- Review detected columns
- Map to correct Avikto fields
- Mark required fields
- Set defaults for missing data
- Handle unmapped columns
Validation
The system checks:
- Required fields present
- Data type compatibility
- Email format validity
- User existence
- Field length constraints
Fix any errors before confirming import.
Import Execution

Imports cannot be undone in bulk. Always preview and validate your data before confirming. Large imports may take several minutes to complete.

Confirm Import
- Review total count
- Confirm error handling
- Click Import
- Track progress
Post-Import
- Check successful imports
- Review failed cases
- Download error report
- Retry if needed
Large Imports
For large files (1000+ cases):
- May take several minutes
- Can run in background
- Email notification when complete
- Download results summary
